STUDENT SERVICES ASSISTANT, CATEGORY B - Basic Needs Department
Summary Description
Under the direct supervision of the Student Resources Program Manager, the Student Assistant role provides clerical support for the Basic Needs Department; and assumes responsibility for assisting in office activities as well as providing direct assistance to students requiring a moderate degree of independent judgment.
This includes providing assistance to students accessing the Mini Market or students seeking resources from the Basic Needs Department; developing and conducting outreach to students for basic needs resources; engaging in active professional development opportunities and project work under the instructions of the Student Resources Program Manager; greeting students and answering questions at the front desk of the Welcome Center.
Representative Duties
The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
- Participate in planning, organizing, and contributing to the daily office operations of the Basic Needs Department.
- Provide technical information on programs and services available; assist students in completing required forms and in locating services available in and out of the College; determine student eligibility based on program criteria.
- Maintain records and documentation of services provided; compile data, and prepare and type reports and correspondence.
- Maintain working knowledge of standard operating procedures within the area of assignment, and of legislation directly affecting programs and services offered to or by students; interpret District, state and federal regulations and policies to provide accurate information and services to students and staff.
- Prepare publicity materials for programs and activities; coordinate displays, exhibits, visitations, workshops and seminars related to the assigned program.
- Share orientation information for new and continuing students to become acquainted and updated on college and program policies, services, academic expectations and procedures.
- Support students in accessing grocery and household items distributed in the Mini Market, including but not limited to: checking students in/out using the Oasis system, ensuring compliance with item limitations, restocking items, cleaning shelves, floors, and other spaces, organizing stock using the “first in, first out” method.
- Help operate market-style grocery distributions as needed, including but not limited to: receiving shipments of food items and organizing distribution line, setting up tablecloths, running check in for students, staff, and faculty, restocking the line of items, breaking down boxes, returning unused items to Mini Market.
- Develop outreach materials including but not limited to: social media engagement, presentations to classrooms and student support programs, and development of media and/or graphics for marketing distribution.
- Participation in professional development opportunities offered by the Student Resources Program Manager and attendance at all mandatory department meetings.
- Greeting students and visitors to the Welcome Center by staffing the front desk, answering questions, directing students to resources, and scheduling appointments for more in-depth support.
- Perform related duties as assigned.
Minimum Qualifications
The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties.
Knowledge of:
- Methods and techniques of assisting and informing students.
- Office procedures, methods and equipment including computers and applicable software applications such as word processing, spreadsheets and databases.
- Principles and practices of record keeping and filing.
- Interpersonal skills using tact, patience and courtesy.
- Oral and written communication skills.
Ability to:
- Perform specialized clerical duties related to the Basic Needs Department.
- Interpret, apply and explain applicable rules, regulations, policies and procedures within the area of assignment.
- Operate office equipment including computers and supporting word processing, spreadsheet and database applications.
- Schedule and prioritize work while working with frequent interruptions.
- Type or enter data at a speed necessary for successful job performance.
- Understand and follow verbal and written instructions.
- Communicate clearly and concisely, both orally and in writing.
- Establish and maintain effective working relationships with those contacted in the course of work.
- Work with and exhibit sensitivity to and understanding of the varied racial, ethnic, cultural, sexual orientation, academic, socio-economic, and disabled populations of community college students.
Education/Training:
Equivalent to the completion of the twelfth grade.
Experience:
One year of responsible clerical experience in a related program area involving public contact.

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. As this position supports the distribution of grocery and household items, functions also require the ability and mobility to lift and carry items weighing over twenty pounds.
