Student Services Assistant

STUDENT SERVICES ASSISTANT, BASIC NEEDS DEPARTMENT

Summary Description 

Under supervision of the Student Resources Program Manager, Basic Needs Department Student Assistants will provide operations and clerical support in an assigned Basic Needs Department program including, but not limited to, food distributions at the Mini Market or Free Farmers’ Markets, campus event support, on-campus outreach (e.g., marketing and design tasks, including website updates, presentations and tabling), public benefit application support, peer-to-peer resource navigation support, and/or supportive services distribution. Student Assistants will also assume responsibility for assisting in office management activities (e.g., scanning and filing documents, updating digital files, updating digital data management systems) as well as providing direct assistance to students requiring a moderate degree of independent judgment.  Student Assistants will receive up to a maximum of 20 hours per week, depending on departmental need and staff availability. 

 

Representative Duties 

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices. 

Participate in planning, organizing, and operating the daily and semesterly office work of the assigned program at the Basic Needs Department of Las Positas College. Student Assistants will be assigned duties on a unique team within the Basic Needs Department (e.g., Intake Team, Ongoing Support Team, Food Distribution and Events Team, Marketing and Outreach Team). Team assignments are dynamic and may change over time.  

Provide technical information on programs and services available; assist students in completing required forms and in locating services available in and out of the College; determine student eligibility based on program criteria of campus and community resources.  

Maintain records and documentation of services provided; compile data; prepare and type reports and correspondence. 

Uphold federal privacy rights of students (i.e., FERPA) through maintaining verbal and written confidentiality of student records and student circumstances disclosed during support services.  

Maintain working knowledge of standard operating procedures within the area of assignment.  

Prepare publicity materials for programs and activities; coordinate displays, exhibits, visitations, workshops and seminars related to the assigned program. Conduct peer-to-peer outreach with thoughtfulness, creativity, and cultural humility. 

Operate weekly and monthly food distribution programs (i.e., Mini Market and Free Farmers’ Markets) including but not limited to moving inventory using pallets, restocking shelves/tables, setting up event spaces, cleaning and maintaining market spaces, checking out visitors, planning logistics on digital platforms, sending email correspondence, etc.  

Perform routine customer service tasks, such as welcoming students to the Welcome Center, answering questions about campus services, or checking students out at the food distribution programs.  

Perform related duties as required. 

 

MINIMUM QUALIFICATIONS

The following generally describes the knowledge and ability required to enter the job and/or be learned within a short period of time in order to successfully perform the assigned duties. 

 

Knowledge of

Operations and procedures of the student services office to which assigned. 

Methods and techniques of assisting and informing students. 

Office procedures, methods and equipment including computers and applicable software applications such as word processing, spreadsheets and databases. 

Principles and practices of record keeping and filing.  

Interpersonal skills using tact, patience and courtesy.  

Professional standards for verbal and written communication, including email etiquette and correspondence. 

Oral and written communication skills. 

 

Ability to: 

Perform specialized clerical duties related to the assigned student service area. 

Interpret, apply and explain applicable rules, regulations, policies and procedures within the area of assignment. 

Operate office equipment including computers and supporting word processing, spreadsheet and database applications. 

Schedule and prioritize work while working with frequent interruptions. 

Type or enter data at a speed necessary for successful job performance. 

Understand and follow verbal and written instructions. 

Communicate clearly and concisely, both orally and in writing. 

Establish and maintain effective working relationships with those contacted in the course of work. 

Represent the department, division, college, and district with professionalism and respect throughout the course of duty.

Education/Training

Equivalent to the completion of the twelfth grade. 

Experience

One year of responsible clerical experience in a related program area involving public contact. 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Environment: Work is performed in a fast-paced office setting, on a college campus environment with many outside events, and during many food distribution workflows that involve heavy items and equipment.  

Physical: Primary functions require sufficient physical ability and mobility to work in an office or event setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. Food distribution workflows require lifting moderate weight to heavy weight using two-person lifting methods, use carts and equipment to move boxes and cartons of food items, and lifting and storing food items on shelves and tables.
